What a Small Business Booking System Needs
By Jagassar ·
Online booking saves the back-and-forth of finding a time, but only if it works the way your business does. Whether you pick an off-the-shelf tool or have one built, check it against this list.
For the person booking
- Clear choices: each type of appointment with its length and what it's for.
- Times shown in their own time zone, so a client in another province doesn't turn up an hour late.
- A few intake questions, so you arrive prepared.
- An instant confirmation email with a calendar invite.
- Reminders before the appointment.
- A link to reschedule or cancel without having to phone you.
For you and your staff
- Availability that matches your real hours, with exceptions for holidays and days off.
- A minimum notice period and a limit on how far ahead people can book.
- Sync with the calendar you already use, so bookings never clash with your other meetings.
- More than one host, each with their own availability.
- One place to see what's coming up.
If you take payments or waivers
Tours, rentals, classes and activities often need more than a time slot: payment or a deposit at booking, digital waivers signed before arrival, and a manifest of who's coming. Plan for these from the start. They're much harder to add later.
Off the shelf or custom?
Ready-made booking tools cover standard appointments well and are quick to set up. A custom booking system makes sense when booking is the core of the business, when it has to connect to your own systems or customer portal, or when your rules don't fit a generic tool: group trips with capacity limits, equipment, or several staff on one booking.
What we've built
The booking page on this site is our own. It offers a 30-minute intro call and a 60-minute strategy session, with availability set in Winnipeg time and shown in each visitor's own time zone, intake questions, confirmation and reminder emails with calendar invites, self-serve rescheduling and cancelling, and Google Calendar sync.
Seascape, our platform for dive and tour shops in Belize, adds digital waivers, trip manifests and card payments.
